BRIMUN 2009: Terms and Conditions

 

A)    General Terms and Conditions

 

1.)    The Model United Nations Society (MUN) is an officially registered student club at Jacobs University Bremen. In the following, the abbreviation MUN refers to this student club. MUN's purpose is, amongst others, to organize the Bremen International Model United Nations (BRIMUN) conference at Jacobs University Bremen. BRIMUN's organizational staff is part of MUN.

2.)    The web site www.brimun.org contains information on MUN's activities and services, including but not limited to those related to BRIMUN. All offers published by MUN, including but not limited to those on this web site, might be subject to change by MUN without further notice. MUN reserves the right to terminate any contractual relationships resulting from or related to its offers at any given time. MUN cannot be held accountable for changed offers and excludes any claims possibly resulting from terminations of contractual relationships. MUN reserves the right to exclude specific individuals from its offered services, including but not limited to participation in BRIMUN. MUN excludes any legal actions on the side of the individual related to a possible exclusion.

3.)    MUN claims copyright on all of the data available on this web site, including but not limited to the BRIMUN logo and slogan, format and screen design of the website, on all other data related to BRIMUN and released by MUN, and on all contents created during or for BRIMUN 2009 or any of its previous editions, or those are submitted to MUN. MUN claims copyright on all of its printed material (including, posters, brochures, and post-cards). All rights are reserved.

4.)    MUN disclaims any responsibility for the wellbeing and obligatory supervision of underage participants. For underage persons to participate in BRIMUN, MUN requires parents to send in a signed and dated Letter of Consent that has to include the following statements:


I, [Legal Guardian] , and [Legal Guardian], both legal guardians of [Name of BRIMUN Participant], hereby allow him/her to participate in the BRIMUN 2009 conference. We have read, understood, and agreed to BRIMUN's Terms and Conditions, including but not limited to MUN's disclaim of any responsibility for the wellbeing or obligatory supervision over underage participants.

 

5.)    MUN reserves the right to use all data submitted by individuals via this website, sent to MUN by other ways, and collected during BRIMUN 2009 (including video footage and photographs) in any way MUN wishes. MUN reserves the right to collect data including but not limited to personal data, video footage, and photographs without further notice.

6.)    Each individual agreeing to these Terms and Conditions agrees to indemnify and hold harmless MUN staff members as indicated by their badges, employees of and students at Jacobs University Bremen from and against any and all claims, liabilities, costs, or obligations, including without limitation attorneys' fees and expenses that may arise out of travelling to, participating in, and/or returning from BRIMUN 2009 by the undersigned, excluding any liability for injury, death, or damage caused solely by the willful or negligent acts of Jacobs University Bremen.

7.)    Each individual agreeing to these Terms and Conditions confirms to have read and understood all housing rules and college house rules at Jacobs University Bremen. Participants are expected and obliged to obey the laws of the Federal Republic of Germany while participating in BRIMUN 2009. Participants are personally responsible for all charges and damage to facilities of Jacobs University Bremen.

8.)    Court of jurisdiction for all legal troubles resulting from or related to this agreement and contractual relationships with MUN is Bremen, Germany.

9.)    Even if any of the above rulings should become ineffective, all remaining rulings of this agreement remain legally binding.

 

B)    Admission Rules

 

10.)    No delegate will be admitted who is younger than 15 or older than 28 years (year of birth between and including the years 1980 and 1993) at the time of the conference.

11.)    During the application process and at the time of the conference, each applicant must be enrolled at a university or high school. Exceptions can be made on a case-to-case basis.

12.)    Each delegation must comprise three to five participants. If the assigned country is a member of the Security Council, the number can be increased by one. If a university/high school wants to send more than one delegation, each delegation must apply separately.

13.)    The deadline for all applications is March 15, 2009. All applications received after this date might not be accepted anymore or can be charged a late fee of 17 EUR. For all applicants requiring a visa the deadline is January 15, 2009.

14.)    Applicants from outside the European Union or North America most likely need to acquire a visa for visiting Germany and participating in the conference. It is each delegate?s personal responsibility to acquire such a visa. Letters of Invitation might be needed for the visa application process. Please note that no such letter will be issued by MUN before all payments and delegation fees have been transferred to and received by BRIMUN 2009. All participants requiring a visa must submit a digital copy of the ID page of their passport to admissions@brimun.org. Please note that the application deadline for participants requiring a visa is January 15, 2009.

15.)    Within two weeks after the submission of the online application, each delegation or individual delegate will be notified whether the application has been accepted. However, an application for participation in the conference is considered confirmed, i.e. successfully completed, only after all payments and delegation fees have been transferred and received by BRIMUN 2009. No Letters of Invitation will be issued before successful application to BRIMUN 2009 has been confirmed.

16.)    The delegate fee is 65 Euro; no other currency is accepted. The fee is non-refundable. It includes a ticket for public transportation in the Bremen area as well as two meals per day (lunch and dinner), which are provided on campus, and access to all events included in the BRIMUN 2009 Social Program. The fee excludes accommodation, costs for breakfast, and travel expenses.

17.)    All fees have to be transferred to BRIMUN's bank account as soon as possible after the submission of the online application. The respective bank information will be mailed to the participants along with the e-mail of acceptance. Applications will be confirmed after the complete amount has been received. BRIMUN does not pay for bank charges of any kind. In case the delegation/delegate fails to submit the fee(s) within three weeks after application, the enrolment will be cancelled.

18.)    BRIMUN does not offer any kind of financial aid.

19.)    BRIMUN does not guarantee that delegations or individual participants will be assigned the country and/or committee that they indicated as preferred in their online application. Countries will mostly be allocated on a first-come-first-serve basis. BRIMUN would like to remind that especially the number of participants in the Security Council, ECOSOC, UNDP, Human Rights Council and NATO are strongly limited and that an early enrollment is recommended for those participants wishing to participate in these committees.

20.)    BRIMUN would like to remind all participants that no responsibility is taken for the successful finding of a suitable accommodation. No accommodation is provided on the campus of Jacobs University Bremen. However, BRIMUN offers participants the option of booking a hotel room contacting travel@brimun.org.

 

C)    College House Rules


21.)    Participants are expected to save as much energy as possible. Switch off lights and heaters when leaving the rooms.

22.)    The fire alarm must not be misused. Fire extinguishers should not be removed from the designated locations, nor should they be used needlessly. Participants will be charged for the refilling of fire extinguishers set off needlessly.

23.)    If needed, participants will be charged 50 EUR for a key replacement and 100 EUR for a new transponder.

24.)    Please respect the quiet hours during the week from 11pm to 7am and on weekends (Friday and Saturday night) from 1pm to 7am. Please respect studying students. No noise and no group study must be made in the quiet study area.

25.)    Do not leave rubbish on the floors, place it directly into the trashcans or rubbish bins, separate glass and put it into the designated containers.

26.)    In the cantinas, always bring back the trays to the designated racks. Keep the cantina clean, and bring back any crockery removed from the cantina as soon as possible after use.
